ERASMUS+ STUDENT MOBILITY REGULATION

ERASMUS+ PROGRAM

The Department of International Academic Affairs and Student Exchange issues a call for expressions of interest to the university’s students for participation in mobility for studies or internships. All active students of UNIWA departments at undergraduate, postgraduate, or doctoral levels are eligible to participate in the program. The call is sent to students’ and faculty members’ institutional email accounts and posted on the institutional ERASMUS+ website.

Each call includes all prerequisites, selection criteria, required documents, the deadline for application submission, and any other necessary information for mobility. Additionally, in the case of International Mobility, the number of available placements per country and partner university is stated.

Detailed information regarding student mobility via the ERASMUS+ program is provided by the ERASMUS+ Coordinator, the Department’s website, and the Department of International Academic Affairs and Student Exchange at: https://erasmus.uniwa.gr/.

  1. Mobility for Studies

Through the Erasmus+ program, undergraduate, postgraduate, and doctoral candidates may complete part of their studies (e.g., select courses not offered in their curriculum, or conduct part or all of their thesis or dissertation) in a European Union country or globally (ERASMUS+ International Credit Mobility).

  1. Basic terms of participation in the ERASMUS+ program

On the website of the Department of International Academic Affairs and Student Exchange:
https://erasmus.uniwa.gr/klassiki-kinitikotita/panepistimia/, students can view the Department’s inter-institutional agreements with partner universities available for mobility.

1.1 Eligibility for mobility:

  1. The student must be a national of an EU member state or another country participating in the program.
  2. They must be registered in a regular study program (undergraduate, postgraduate, or doctoral) at UNIWA. Undergraduate students must be at least in their 2nd year and have successfully completed the first two semesters.
  3. There must be an inter-institutional agreement between UNIWA and the host university.
  4. The student must have sufficient knowledge of the language in which courses are taught at the host university. An exception applies to thesis writing, which may be done in English.
  5. A student may receive a mobility grant for up to 12 months per study cycle, regardless of the number or type of mobility (study or internship), provided that the study period lasts at least one academic term. No tuition, registration, or exam fees are paid at the host university. National scholarships and student loans continue to apply for outgoing students.

1.2 Student Selection Criteria:

Students are selected by the ERASMUS+ Committee based primarily on an index calculated by the total ECTS credits earned divided by the number of semesters attended (or alternatively, the number of passed courses). In case of a tie, additional criteria include overall academic performance, selection of a low-mobility destination country, foreign language proficiency, multilingualism, and gender balance.

1.3 Announcement of Results:

Applicants are notified within a reasonable time after the application deadline by email from the Department of International Academic Affairs and Student Exchange.

1.4 Course Recognition – Before Departure:

Erasmus+ ensures full recognition of the study period at the host university. Each Department’s participation in the program implies a commitment to automatic recognition of the studies completed abroad, as declared in the “Learning Agreement for Studies” (and updated in “Changes to Learning Agreement”).
A course is not recognized only if it is not listed in the Learning Agreement or if the student fails the assessment at the host university.
Core or required courses can be recognized if the content is approved by the teaching staff and the General Assembly. Other courses are listed in the Diploma Supplement if passed.
The student must enroll in courses totaling 30 ECTS for one semester or 20 ECTS for a trimester.

1.5 Course Recognition – Upon Return:

Upon return, students must submit an official transcript from the host university indicating: course titles, grades received, ECTS credits, and grading scale or percentile ranking. All courses must be included (pass or fail) to confirm exam participation.

1.6 Funding:

  • i. Students receive a grant based on the destination country. They may be funded for up to 12 months per study cycle, regardless of mobility type.
  • ii. Initial payment is 80% of the total grant; the remaining 20% is paid after return if:
    • Undergraduate students pass courses totaling at least 15 ECTS (as defined by the ERASMUS+ committee).
    • Postgraduate students (2nd & 3rd cycle) obtain passing grades or favorable evaluations in internships.

  2. Purpose of the Erasmus+ Internship

The Erasmus+ internship provides students with the opportunity to gain professional experience abroad in sectors related to their studies, applying and expanding their academic knowledge in a real-world environment.

2.1 Who is eligible:

Under the ERASMUS+ program, the following may apply:

  • Undergraduate students (from the first year),
  • Postgraduate students,
  • Doctoral candidates (enrolled),
  • Recent graduates within the first year post-graduation, provided they applied during their final year of study.

2.2 Host Organizations:

Students can undertake internships in eligible host organizations located in eligible countries for 2 to 12 months.
They may choose from a pool of private or public institutions. For host organization searches, students can use:

2.3 Internship Scope:

The internship must be related to the student’s field of study and cannot be part of the thesis or dissertation.
In case of research internships, the student must align the work with the host’s objectives and work plan.

2.4 Internship Recognition:

The internship is fully recognized if it corresponds to a required internship period in the study program.
For graduates, the internship is recorded in the “Traineeship Certificate” and optionally in the Europass Mobility Document.
Before departure, the “Learning Agreement for Traineeships” must be approved by the ERASMUS+ Coordinator, including a copy of the host organization’s acceptance letter detailing the subject, schedule, and duration.
After returning, students must submit all required documentation (as per Article 14) to receive ECTS recognition.

2.5 Application Submission:

Applications for internship mobility must be submitted electronically to the Department’s Secretariat during the designated application period, following a relevant call.
Applications are assessed based on the electronic submission date; late submissions are not accepted.
Each student may declare only one host organization per application.
